Accounts payable automation with AI, from inbox to approved bill

Invoices arrive by e-mail and in shared folders. The team reads them, checks them and lines them up for your approval before the due date.

Nara AP Specialist

Checks for duplicates, changed bank details, amounts that differ from the purchase order and suppliers not on your list. Holds anything suspicious.
Pia Payment Calendar Coordinator
Keeps the due-date calendar, groups bills for each payment run, and tracks Ramp card spend against receipts.

Supplier invoices arrive everywhere and get paid late.

Some come by e-mail, some in a shared folder, some forwarded by a manager three days later. Someone types each one into the system, and a missed due date means a late fee or an angry supplier.

  • Finance teams that key in supplier invoices by hand
  • Companies on QuickBooks or Xero with many small suppliers
  • Managers who approve bills and want to see them in one place

How it works

  1. An invoice arrives in the AP inbox in Gmail or a Google Drive folder.
  2. Darwin reads it, fills the fields and creates a draft bill with the document attached.
  3. Henry checks it against the purchase order, past invoices and the supplier's registered bank details.
  4. The approver gets the bill in Slack, Teams or e-mail and approves, rejects or asks a question.
  5. Nina schedules approved bills into the next payment run, which a person executes.

Example of what you get

Weekly payables run

  • Bills due this week, grouped by supplier and approver
  • Invoices on hold, with the reason: duplicate, mismatch or new bank details
  • Approved bills ready for payment, with documents attached
  • Ramp card transactions still missing a receipt

What changes

  • No invoice is lost in someone's inbox
  • Bills are paid on time, so late fees and supplier calls drop
  • Suspicious changes to bank details are caught before money moves

Where a person is still needed. The team never pays a bill or changes supplier bank details on its own. A person approves each bill and executes each payment.

Questions

Accounts payable team

How does AI invoice processing read PDFs and scans?

It reads the document, finds supplier, invoice number, dates, totals, tax and line items, and shows its confidence for each field. Low-confidence fields are highlighted for a person to check.

Can an invoice processing AI agent catch fraud?

It checks common signs: changed bank details, duplicate numbers, amounts that do not match the order and unknown senders. It holds those invoices and asks a person, which is where most fraud attempts are stopped.

Is it safe to automate accounts payable with AI?

The team reads documents and creates drafts; approval and payment stay with people. It connects through official integrations, and every action is logged with who approved it.

How long does accounts payable automation take to set up?

Point the AP inbox or Drive folder to the team, connect QuickBooks or Xero, and set who approves what. Expect one working session. You can open the team at no cost and run it on last month's invoices first.

How does AI accounts payable automation work from invoice to payment?

An invoice lands in the AP inbox or a Drive folder, Darwin reads it and creates a draft bill in QuickBooks or Xero, and Henry checks it against the purchase order and past invoices. The approver decides in Slack, Teams or e-mail, and Nina places approved bills in the next payment run. A person executes the payment.

Can the AI match invoices to purchase orders?

Yes. Henry compares the invoice lines and totals with the purchase order and flags any difference in quantity, price or supplier. Invoices that do not match are held with the reason, so the approver sees the problem before deciding.

What happens when a supplier changes its bank details?

The invoice is put on hold and never moves to payment automatically. Henry marks it as new bank details and asks a person to confirm the change with the supplier through a known contact. Changing supplier bank details is always a human decision.

Can we set approval rules by amount, department or supplier?

Yes. You define who approves which bills, for example by cost center, amount range or supplier category, and when a second approver is needed. The team routes each bill to the right person and keeps a record of who approved it.

Does it handle invoices in different languages and currencies?

Darwin reads invoices in common languages and keeps the original currency, tax lines and amounts as they appear on the document. Conversion and posting follow the setup of your accounting system, and fields it is unsure about are highlighted for review.

Is AI for accounts payable just OCR?

No. Reading the fields is only the first step. The team also checks for duplicates and mismatches, routes approvals, keeps the due-date calendar and chases receipts for Ramp card spend, which OCR alone does not do.
