Accounts receivable software with AI: cash application, follow-up and a forecast of what comes in
Every day someone opens the bank statement, looks for who paid and clears invoices one by one in the ERP. A Pix payment (Brazil's instant payment) with no identification sits in a suspense account for weeks. Sales asks whether the customer has paid, and finance has to stop everything to answer.
Accounts receivable with AI, step by step
Daily reading of receipts
The agent pulls statements, bank slip returns and card acquirer reports and matches each entry to the open invoice in the ERP, including partial payments and interest.
Payments without a reference, resolved
When a payment arrives with no identification, the agent searches by tax ID, amount and the customer's history, suggests the likely invoice and asks a person to confirm before clearing it.
Status for whoever asks
A salesperson or account manager asks in Slack or WhatsApp whether the customer has paid, and the agent answers at once with what is open and what has already come in.
A view of what is coming
The agent projects receipts for the next weeks from each customer's real behavior and alerts the CFO when a large customer starts to pay late.
Less repetitive work. More control.
- Invoices cleared the same day the money arrives
- A suspense account without a pile of unidentified amounts
- Sales with an immediate answer about payments
- A receipts forecast based on real history
Systems used in this solution
Ready-made AI teams for this work
Accounts payable team
Invoices arrive by e-mail and in shared folders. The team reads them, checks them and lines them up for your approval before the due date.
Bank reconciliation team
Bank lines, Stripe payouts and ledger entries are matched each morning. You only see what did not match, with a reason.
Collections team
Before and after each due date, customers get a clear reminder with a payment link. Disputes and promises to pay go to your team.
Cash flow forecast team
Every week the projection is rebuilt from your books, open invoices and bills, with a plain note on what changed and why.
Bookkeeping team
Transactions are categorized as they come in, receipts are matched, and the month-end close starts with a short list of questions.
Questions about accounts receivable with AI
Can the agent identify a payment with no description?
In most cases, yes, by matching the payer's tax ID, the amount and the open invoices. When there is doubt, it suggests the match and a person confirms.
Do we need to replace our ERP?
No. The agent works inside the ERP you already use, such as TOTVS, SAP, Omie or Conta Azul, reading and clearing invoices through the integration. Omie and Conta Azul are Brazilian.
Who has access to customer information?
You set permissions per agent and per person. A salesperson sees only their own customers, and every query is recorded in the audit trail.
Can receivables be split by business unit or group company?
Yes. The agent respects the structure of branches and companies in the ERP and can produce separate views and alerts for each owner.
