Accounts payable automation with AI: approval, posting and payment without a side spreadsheet

Bills arrive by e-mail, WhatsApp and even by post, and someone has to chase each one to post it in the ERP. Approval happens in a loose message from a director, with no record, and the side spreadsheet never matches the system. When a payment is late, nobody knows which step it stopped at.

Accounts payable with AI, step by step

01

Capture of everything that arrives

An agent reads the finance mailbox, the suppliers' WhatsApp and the shared folders, sorts bills, invoices and statements, and extracts amount, due date, tax ID and payment line.

02

Checks before posting

The agent matches the document against the purchase order and the supplier record, flags value differences or duplicates, and posts to the ERP with a suggested cost center and category.

03

Approval at the right level

Each payable enters a Pipe with stages and approval levels. The approver gets the summary in Teams, Slack or WhatsApp and approves with one click, and the SLA chases whoever is holding it.

04

A batch ready for the bank

On the agreed date, the agent builds the payment batch and sends it for human release at the bank. Once paid, it clears the payable and attaches the proof of payment in the ERP.

What changes

Less repetitive work. More control.

  • No bill forgotten in a mailbox
  • Approvals recorded: who approved, when and why
  • The ERP as the single source, with no side spreadsheet
  • Month-end close without chasing payment proofs
Questions

Questions about accounts payable with AI

Does AI pay the bills on its own?

No. The agent prepares the batch and leaves everything checked, but the release at the bank stays with an authorized person. You define what can be automatic and what needs approval.

Does it work with the ERP we already use?

Yes. iTeam connects to TOTVS, SAP, Omie, Bling, Conta Azul and others by API. The agent posts straight into the ERP, which remains the official source of the data. Omie, Bling and Conta Azul are Brazilian systems.

What about the security of bank data and data-protection law?

Each agent only reaches what its permissions allow, every action is kept in an audit trail, and data stays in the environment set up with your IT team, following data-protection rules such as Brazil's LGPD.

What if the bill shows a different amount than the purchase order?

The agent does not post it. It flags the difference, warns the responsible buyer and continues only after someone resolves or approves the gap.
