WhatsApp Business API: what you can do and how to use it with AI agents

The WhatsApp Business API, offered by Meta (Cloud API), lets companies send and receive messages programmatically on a business number. Support, sales and collections teams use it to handle conversations at scale. Access requires a verified Meta Business account and a number registered on the platform.

What the WhatsApp Business API offers

Messages

Sending and receiving text, images, documents, audio, location and interactive messages with buttons and lists.

Message templates

Messages pre-approved by Meta, required to start a conversation outside the 24-hour customer service window.

Webhooks

Real-time notifications of incoming messages and of delivery and read status.

Media

Upload and download of the files exchanged in conversations.

Numbers and business profile

Management of the account's phone numbers and of the profile information shown to the customer.

How to access the WhatsApp Business API

  • With your company’s credentialsIt uses a Meta access token (a system user token in Business Manager) tied to a Meta for Developers app with WhatsApp Business permissions.
  • Messages outside the 24-hour window require an approved template, and Meta charges per conversation depending on the category.
  • Number quality drops with blocks and reports; avoid sending to people who did not ask for contact.
  • Conversations contain personal data: define retention and access in line with data-protection law such as GDPR.

What an iTeam agent does with the WhatsApp Business API

First-level support triage

The agent answers frequent questions about orders, deadlines and policies and hands the conversation to a human agent when the customer asks or the topic falls outside the script, with a summarized history.

Collection with an approved template

The agent sends due-date reminders using approved templates, sends a copy of the invoice when the customer replies and records the payment promise in finance.

Schedule confirmation

The day before, the agent confirms visits or appointments, reschedules within free slots and warns the team about expected no-shows.

Qualifying campaign leads

Leads arriving from click-to-WhatsApp ads get qualifying questions, and the qualified ones go to the CRM with a summary for the salesperson.

From the credential to the agent at work, with approval

01

Prepare the Meta account

Verify the business in Meta Business, register the number on the Cloud API and generate a system user token with the WhatsApp permissions.

02

Register it in the iTeam vault

The token and the number ID go in the iTeam credential vault; you define which agents can send messages and which templates each one uses.

03

Test with human approval

In the first weeks, outbound messages and sensitive replies go through approval; the webhook is turned on so the agent receives conversations in real time.

Questions

Questions about the WhatsApp Business API

Is the WhatsApp Business API free?

Not entirely. Access to the Cloud API has no sign-up fee, but Meta charges per conversation or message depending on category and country, and the pricing rules change from time to time. Check Meta's current price list.

Do I need to write code to use the WhatsApp Business API with iTeam?

Not necessarily. iTeam already connects to WhatsApp and the deployment team sets up the number, templates and webhook with you; your team only approves rules and messages.

Can I use my current WhatsApp Business number?

Generally yes, but the number has to be migrated to the API platform and stops working in the regular app while it is there. It is worth planning the migration with the deployment team.
