AI for clinics: a full schedule, fewer no-shows and a front desk free for the people in the waiting room
The front desk serves the patient at the counter, the phone and three WhatsApp conversations at the same time. Patients give up because nobody replied, and the next day there are empty slots because of no-shows without notice. At the end of the month nobody can say how many booking requests were lost.
The AI agents that do this work
Scheduling agent
Shows the real slots of each practitioner and books, reschedules and cancels over WhatsApp. It respects the clinic's rules, such as appointment length and type of visit per doctor.
Confirmation and no-show agent
Confirms appointments in advance and, when a patient cancels, offers the slot to the waiting list. In the morning the front desk sees who confirmed and who did not reply.
Insurance and authorizations agent
Checks whether the health plan is accepted, asks for the card and the required details and prepares the authorization request. Cases with pending items are flagged for the team.
Follow-up and after-visit agent
Reminds the patient of the follow-up visit and the exams requested and sends instructions approved by the doctor. Any symptom a patient reports is passed to the clinical team and never answered by the AI.
Digital front desk agent
Answers questions about address, exam preparation, prices and documents. It pre-registers the patient to cut time at the counter.

Questions about AI agents for clinics
How does the AI handle patients' health data?
Health data is sensitive data under Brazil's data-protection law, so the agent reaches only the minimum needed to book and confirm, with permissions by role and an audit trail. It gives no diagnosis or clinical advice, and medical records stay out of its reach unless the clinic decides otherwise in writing.
Does the agent replace the receptionist?
No. It takes the volume of repetitive messages, and the front desk keeps the patient who is present and the delicate cases. Any conversation can be taken over by someone on the team.
Does it work with our clinic system?
We integrate with systems such as the Brazilian Feegow and iClinic, and with Doctoralia, to read and write the schedule directly at the source. That way there is no second calendar to keep in sync.
What if a patient reports an emergency?
The agent is set up to recognize signs of urgency and tell the patient to seek emergency care, and it alerts the team immediately. It never tries to assess the case on its own.
